Keep Canadian mortgage renewals on a live queue

Create a maturity-based renewal worklist with a timing worksheet, accountable owners, contact checks, and a way to reconcile every loan due.

THE STARTING POINT

Build the renewal queue from the authoritative maturity date, then assign one owner and a next action to every loan before it reaches that date. Keep outreach, documents, borrower decisions, and completed renewals as separate states. The Bank of Canada estimated that about 60% of outstanding mortgages would renew in 2025 or 2026, but a sector estimate cannot replace a lender's own due-date list. Reconcile the queue to servicing records on a set schedule.

Start with a maturity date you can trace

A renewal queue is only as reliable as its maturity field. Identify whether servicing, the loan origination system, or a controlled portfolio record owns the date, and retain the source loan ID beside it. Compare a sample against signed documents or the servicing record before loading the full book. Record corrected dates with who changed them, when, and why so the report does not hide a data dispute.

Set contact milestones from your own lead time

Choose internal milestones by working backward from the work your renewal path requires, such as borrower contact, document refresh, broker handoff, review, and signed instructions. There is no universal 120-day sequence for every lender or product. Keep the chosen target dates on each loan and record a reason when a file enters the queue late. The Bank of Canada's July 2025 estimate described a concentrated 2025–26 renewal period; use it as context, not as a count of your remaining files.

Give each renewal state one owner and next step

Track contact attempted, borrower reached, information requested, review in progress, decision pending, documents complete, renewed, transferred, and unresolved as distinct states. A state change needs a timestamp and owner. Record borrower contact preferences and the approved route before sending an automated reminder. Keep an exception reason for missing maturity data, returned mail, no response, disputed terms, and any file that requires a person to decide what happens next.

Reconcile maturities and outcomes on a cadence

Review loans due in the next operating period by owner, maturity date, last contact, next action, and unresolved blocker. Compare the queue with servicing totals so a loan cannot disappear when it transfers, pays out, renews, or becomes past due. Measure contacted, reached, renewed, transferred, and still open against the loans actually due in that cohort. Keep a separate late or unmatched list instead of quietly dropping exceptions from the dashboard.
