Prepare BC brokerage records for the Mortgage Services Act

Use a staff transition roster, status checks, and a role-access worksheet to reconcile a BC brokerage's records as the Mortgage Services Act starts.

THE STARTING POINT

BC mortgage brokerages should keep a named transition roster that links each person's education evidence, BCFSA status, brokerage role, and internal system permissions. BCFSA says the Mortgage Services Act takes effect October 13, 2026 and that current registrants who completed required transition education by September 22 can transition to licences. As of October 12, IRIS is scheduled to be unavailable until 8:30 a.m. on October 13 for system updates. Reconcile each person after access returns; do not infer one person's status from another's.

01

Keep education proof and licence status separate

A BC brokerage's training receipt shows course completion, while the BCFSA record is the place to verify the person's regulatory status. Assign a principal broker or compliance lead to compare each individual, their required transition education, their current role, and the system permissions tied to that role. A single brokerage-level checkbox hides differences between people and can send work to the wrong user.

What should staff do during IRIS maintenance?

As of October 12, 2026, BCFSA says the IRIS portal is scheduled to be unavailable from October 9 at 4:30 p.m. until October 13 at 8:30 a.m. for Mortgage Services Act system updates. During that window, preserve course evidence, list the people awaiting a status check, and assign a named verifier and next check time. Treat a last-known status as a lead for follow-up, not proof of the new licence.

Reconcile each person after the portal returns

After IRIS access returns, a named reviewer should check each person's status individually and record the date, the status shown, the source, and the internal access decision. BCFSA's transition page says current registrants needed the required education by September 22 for their registration to transition on October 13. Route a missing course record, unmatched name, or unexpected status to the principal broker instead of applying a bulk permission change.

04

Keep the access change auditable

A brokerage's CRM or identity directory can mirror an approved internal role, but it should not decide whether someone holds a BCFSA licence. Keep the person, verified status, reviewer, permission changed, effective date, and reason in one retrievable change record. Recheck any staff member whose course evidence or portal result is incomplete before routing files to that person.

Roster only

  • One completion flag covers the whole office
  • Permissions change before a status check
  • No named owner for unmatched records

Verified record

  • Each person has evidence and a status date
  • A principal broker reviews exceptions
  • An administrator applies the approved role
Roster alone versus verified accessA person-level review prevents a training list from silently becoming a licensing decision.

MAKE IT USEFUL

Before you put it to work

  • Read the current BCFSA Mortgage Services Act transition notice.
  • Match education evidence to each individual, not just the brokerage.
  • Check the BCFSA status for every person whose permissions may change.
  • Route missing or conflicting records to a principal broker.
  • Record who approved and applied each internal access change.

BCFSA's transition dates and IRIS maintenance notice are time-sensitive; check the regulator's current page before acting on an old snapshot. Registration status and licence requirements are regulatory questions, not decisions for a CRM or roster. This is general information, not legal advice. Confirm requirements with your compliance counsel.
