Status updates that answer the next question

Write client updates around completed work, next steps, decisions, and uncertainty with a reusable status template.

THE STARTING POINT

A useful client update explains what changed, what happens next, what the client needs to decide, and when they will hear from you again. State uncertainty clearly. Send it from a reliable project record so the update does not become a second version of the truth.

Lead with the change that matters

Summarize progress in terms the client recognizes, such as a completed milestone or resolved dependency. Avoid replacing an explanation with internal task counts. If nothing changed, say why and describe the next action. The update should answer the likely follow-up question rather than merely demonstrate that someone has been busy.

Separate dates, dependencies, and decisions

Distinguish a confirmed date from an estimate that depends on an input. Name the owner of each outstanding decision and explain the effect of a delay. Make the requested action specific enough to answer in one reply or through a defined workflow. Avoid burying a client decision inside a long list of completed tasks.

Set the next communication point

Tell the client when to expect another update and how to raise a question before then. If updates are assembled automatically, review sensitive or ambiguous statements before sending. Use the project record as the source and correct it when the client identifies a problem. Otherwise an attractive email can drift away from the team's actual plan.

A fictional integration project update

'The field map is complete. We are ready to test once the sample export arrives. Please confirm who can send it by Thursday. The test date remains provisional until we receive it. Your next update is Friday.' This states progress and a dependency without inventing certainty.
