Follow up on quotes without chasing everyone

Design contractor quote follow-up around current status, useful questions, stop conditions, and clear human ownership.

THE STARTING POINT

Follow up only while a quote is genuinely awaiting a decision. Check for replies, accepted work, revisions, and opt-outs before each message. Ask a useful question tied to the quoted job, and route pricing or scope discussions to a person. The workflow needs stop conditions as much as reminders.

Make the quote state trustworthy

Record the quote version, delivery date, owner, and current decision state. A sent quote may later be revised, declined, accepted, or postponed. If those changes live only in someone's inbox, automated follow-up can become inappropriate. Decide who updates the state and how replies reach that owner before adding a sequence of messages.

Make the message useful

Reference the work and offer a clear next step: answer a question, discuss timing, or confirm the quote is no longer needed. Avoid pretending an automated message is a personal conversation. Set timing around your service and the customer's expectations rather than copying a universal cadence. Respect the communication preferences and requirements that apply to your business.

Stop and escalate deliberately

Check the latest state immediately before sending. Stop on acceptance, decline, opt-out, a replaced quote, or a conversation requiring review. A scope or pricing reply should create an owned task rather than trigger a generic next reminder. Keep the reason for stopping visible so a paused opportunity is not later restarted accidentally.

A fictional quote follow-up

'Hi Sam, checking whether the repair quote for the north entrance answered your questions. If the timing or scope has changed, let us know and we can review it.' If Sam replies with a scope change, the sequence pauses and the quote owner takes over.
