Stop retyping field notes at the office

Capture information against a stable job identifier at the point of work, then pass structured completion details to the office. Keep narrative notes where judgment matters. Plan for offline work, incomplete submissions, and corrections so automation does not turn a bad field entry into a final business record.
Start with what the office needs next
Ask the office which missing details force a call back to the technician. Separate essentials such as job ID, completion state, time, and required evidence from information that can wait. Avoid a long mobile form built from every reporting wish. Test the form with the person using it in actual field conditions, including gloves, interruptions, and weak connectivity.
Make submission states visible
Distinguish saved on the device, received by the office, and accepted for the next step. Users need to know whether a retry creates another submission or updates the same one. Give incomplete or contradictory entries a visible review state. Photographs and free-text notes should support the record rather than replace an unambiguous job identifier.
Keep a correction path
Field information changes: a part count is corrected, a visit is reopened, or work remains incomplete. Decide who can amend accepted information and whether downstream records need review. Preserve the original submission and reason for correction where your tools support it. Measure office re-entry and clarification work after the change, not just the number of submitted forms.

A technician saves a completion note without connectivity. The office does not treat it as received until synchronization succeeds, and an incomplete material code goes to review instead of silently entering billing.
