Turn meeting notes into tasks without creating more noise

Extract candidate actions, then confirm that each is a real commitment with an owner and an agreed next step. Keep decisions, ideas, and open questions separate. Create tasks only after resolving ambiguity, and retain enough source context to explain why the task exists.

Separate commitments from discussion

Meetings contain suggestions, conditional plans, decisions, and actual assignments. 'We could review the portal next month' should not become a firm deadline automatically. Ask the extraction step to preserve uncertainty and identify missing owners or dates. Keep the source note reference so participants can check an interpretation without rereading the entire meeting.

Confirm ownership and timing

Present candidate actions to the relevant participants in a short review. An owner should understand what done means and whether the date was agreed or merely suggested. If a task depends on another decision, record that dependency instead of creating a misleading overdue item. Route unassigned actions to the meeting owner for resolution.

Create once and keep changes traceable

Connect confirmed actions to the correct project and existing tasks. Reprocessing the notes should not create another copy of every item. Preserve a stable meeting/action reference and define how corrections update the destination. Review whether the process reduces forgotten commitments without increasing irrelevant notifications and task cleanup.

A synthetic meeting excerpt

'Alex will send the sample export by Friday. We might redesign the dashboard after the pilot.' The first sentence is a candidate commitment for confirmation. The second is an idea with a condition, not an assigned dashboard redesign task.
